“What scheduling software do you recommend?”
This is one of the first questions that I get from Pilates teachers getting ready to open a new studio when I am helping them with a new website.
“I want to switch to a new scheduling system because… (insert the list of complaints here). What do you recommend?”
This is the second most popular question that I get.
If you’ve been around any Pilates Facebook groups you know that the question about scheduling software is asked at least once a month. And every time, the person asking this question has a different set of requirements (from price range to very specific features.)
The reality is that there is no perfect scheduling software. What works for some, doesn’t work for others.
Finding the right fit for YOUR business can be overwhelming. It can take hours of your time (that you would rather spend doing something that you enjoy) and hundreds – sometimes thousands – of dollars (yes, I’ve been a first-hand witness of many scheduling software disasters that end in lost revenue for the studios.)
If you own your studio, you know the pain of choosing and setting up a scheduling system. That’s the exact reason why we conducted this industry-wide survey to collect feedback from Pilates studio owners just like you about their scheduling software: the good, the bad and the ugly.
Most Popular Scheduling Platforms
Among Pilates studios in our survey, MindbodyOnline leads with 33.6% of respondents, with Acuity at 15.6%—together powering roughly half of studios. Another 11.5% still run on pen-and-paper, often to avoid the setup complexity and dreaded admin overhead that come with a platform. Newer contenders Walla (6.6%) and Momence (5.7%) are gaining traction as full studio-management systems with built-in marketing/CRM—not just booking tools. WellnessLiving holds a small slice of usage (≈1.6%), but studios using it in our sample report high satisfaction with functionality and overall value.

The Most Important Features for Studio Owners When Choosing Scheduling System
There are lots of options, but the decision really starts with what you offer and the price structure at your studio. The Pilates industry is unique in how much it relies on private training, providing a true personalized boutique fitness experience. In our survey, 56.0% of studios rely on private training, 50.6% run group classes, and only 7.1% use an on-demand video library. The software of your choice must support the needs and structure of your business.
Across studios in our survey, the everyday toolkit is clear: client self-booking is nearly universal (86%), with packages (73%) and reports (66%) close behind. Operational needs come next—about half use multi-instructor management (50%) and waitlists (49%). A mid-tier group rely on a client app and memberships/subscriptions (both 44%), while health & intake forms (37%), payroll (30%), and livestream/Zoom (27%) support specific workflows.

How to Select the Best Booking System for Your Studio?
When evaluating scheduling software for your studio, keep these points in mind:
- Make a feature list now—and for the future. Switching systems later is a headache, so choose one that you can grow into over the next few years.
- Match features to your services and pricing. Consider whether the system supports your current offerings (privates, groups, or both), pricing options you need, planned intro offers, etc. Some of the unique features that some studios use include mixed packages of privates and classes, membership pricing options and ability to use the same package across multiple locations or share them with family members.
- Think about marketing integrations. The right platform can help with newsletters, client communication, client win-back companions. It can even replace separate marketing and CRM tools like live chat, one-inbox functionality (all of your client texts, DMs and emails can be managed from one inbox.)
- Weigh price against value. A higher monthly fee may actually save money by eliminating the need for multiple add-on tools and by supporting faster growth.
- Test before you commit. Sign up for a free trial to “test-drive” the software that you are considering or book a demo. Prepare a thorough list of questions. Don’t rely solely on what the sales rep tells you—dig into support quality and potential limitations.

Acuity delivers the core booking tools at a budget price (most in our survey pay under $49/mo). It’s fine for everyday classes and privates, but the lack of a built-in waitlist and mostly email-only support frustrate many. If you can live without native waitlists and want to keep costs lean, it’s a solid value; if you run larger, class-heavy schedules or rely on robust memberships/reporting, you may outgrow it. Expect a bit of extra setup when you change your website or tweak package options.

I like Acuity but I really really miss the lack of a Waiting List facility. The app is excellent! I am very reluctant to sway systems though because the price point is good and I’ve had to pay way more for that feature. The change would not be worth it and cause hassle for clients. I find the customer support terrible. It is email only, there is a time zone issue (fair enough) but it is the lack of phone support which I hate, plus I’ve found them quite unhelpful and it is never the same person on a support thread. I’ve tried other systems and initially went with MBO. I cannot say strongly enough how awful I thought they were. Just terrible, arrogant and unhelpful and it turns out, hopelessly expensive for managing multiple locations.

I use Acuity and I don’t think it best supports a Pilates studio. It’s hard for clients to schedule themselves and purchase packages. If you update your Squarespace site, it’s hard to attach it to the new site. There is no app option that I’m aware of (maybe my studio owner is just unaware?) Classes and package options are also difficult to add/modify on the backend which can make classifying and organizing the front end scheduling confusing to the consumer. It doesn’t store client’s payment information so every time they purchase, either you or they have to enter their credit card info.

Mindbody brings breadth—scheduling, waitlists, POS, marketing, reporting, and marketplace visibility. For a long time MindBodyOnline was the only booking system that was robust enough to provide all of the necessary options for studio owners. One of the key benefits of this system is the Marketplace because many clients are use it to find studios near them MBO marketplace pages with ratings also appear prominently in Google search results. However, their technology is lagging behind.

I am finding more and more glitches, such as Mindbody (despite being integrated into my website) not loading a New Client Class Package, when the prospective new clients are selecting it from my website. Also, it confirmed a client that she had a reservation in a group class, but from my end it showed same client clearly on the waiting list. Client showed up for class, but there were not any openings left. Despite updating new studio address in all automatic client emails mulitple times, it will not save the change and keeps putting my former home studio address in all appointment and class confirmations to new and current clients. The app is not user friendly, especially for managing/purchasing membership subscriptions. Clients report frustration with it.

Payment can be cash, check or Venmo.

We have been extremely unsatisfied with Arketa at the studio level. Though the platform works well for users, their reporting is unfinished and not ready for market. We have hired a data specialist, a second CPA, and we are well into the year without having closed out our books for the past year due to reporting problems. We have been in conversation with the Arketa team for over 9 months hoping to clean up these problems. There have been months at a time with no communication. Only when we threatened to leave did they step up. If you are a studio who relies on accurate accrual reporting, beware. As an aside, the platform seems to be better suited for an individual teacher who has videos online. They launched the studio software prematurely and it cost my business thousands of dollars to figure out poor reports.

It’s been a couple of months now of using Bookee and they are very buggy and glitchy. The interface is not intuitive. Vagaro covers a lot under one roof. This platform is utilized by many wellness and beauty businesses and can be a good fit if you offer massage or other wellness services. For a traditional Pilates studio, this platform is not ideal.

Vagaro has many issues using the packages that their own staff can’t seem to figure out. Takes days sometimes weeks for them to investigate why a package isn’t being used correctly by the system. I’ve had multiple clients charged full price when they had visits left in their packages. Painful to have to go through their visits and figure it out, even more painful to spend an hour or more on the phone with the help desk and they can’t figure it out. Then a senior person calls you back and has no background on the issue and you have to start all over and spend another hour on the phone still with no resolution. This has happened at least 7 times since using the system in only 3 months. They constantly blame the issue on people’s phone settings or internet browsing settings but it happens in their app as well. Highly dissatisfied with Vagaro.
